Administrative Assistant Opportunity at AVI Systems

We are seeking a highly skilled and organized Administrative Assistant to join our team at AVI Systems. As a key member of our branch operation, you will provide administrative support to our Branch Administrator and interact regularly with all areas of the branch.

Key Responsibilities:
  • Provide administrative assistance to the Branch Administrator, including report preparation and coordination of tasks.
  • Greet customers and take incoming calls to the branch, ensuring a positive and professional experience.
  • Answer and assist with or transfer main calls into the branch, providing excellent customer service.
  • Oversee fleet management for the technical services team, ensuring efficient and effective operations.
  • Assist with sales order processing, verifying policy and contractual compliance.
  • Coordinate with the project team to follow up on backordered product and provide ETAs.
  • Maintain the facility space, coordinating vendors and repairs as needed, and restocking the breakroom and office supplies.
  • Assist with the arrangement and coordination of open houses, product shows/seminars, manufacturer representative visits, office events/activities, and more.
Requirements for Success:
  • Minimum of high school education required.
  • Excellent face-to-face communication skills, telephone communication skills, and customer relation skills.
  • Computer literacy skills and basic knowledge in word processing, document scanning, and spreadsheets.
  • Ability to write simple correspondence, effectively present information, and respond to questions from account managers, clients, vendors, and others in the organization.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
