About The Job

We are seeking a highly organized and detail-oriented Administrative Manager to join our dynamic team at HomeSmiths Team at KW DTC. As a key member of our team, you will be responsible for providing day-to-day support to our Sales Agents and Team Leader/Sales Manager.

Key Responsibilities

• Manage and maintain all client systems, lead generation, database management, and back-office support

• Coordinate marketing events and client activities, ensuring seamless execution and follow-through

• Oversee listing files and listing marketing, including brochures, flyers, online marketing, and more

• Manage our website, blog sites, and social media presence, ensuring consistent branding and messaging

• Create and maintain an operations manual that documents all systems and standards, ensuring easy access and understanding for team members

• Provide exceptional customer service to clients and customers, responding promptly to inquiries and concerns

• Continuously identify and implement process improvements to increase efficiency and reduce inefficiencies

• Manage contracts and files, ensuring accuracy and compliance

• Oversee scheduling for our executive and team, including weekly meetings and ensuring timely communication

• Maintain detailed tracking spreadsheets, providing valuable insights and analysis for our team

• Prepare weekly and monthly sales statistics and expense reports, ensuring transparency and accountability

• Assist in marketing responsibilities, social media, and other various websites, ensuring a strong online presence

• Responsible for hiring, training, consulting, and holding accountable all additional administrative team members

• Manage day-to-day office needs, ensuring a smooth and productive work environment

• Research and develop new systems that will benefit our team, staying up-to-date on industry trends and best practices
