Position Overview: As the Clinic Operations Manager, you will be responsible for overseeing the daily functions of the clinic, ensuring that all departments operate smoothly and efficiently.

Key Responsibilities:

  • Lead and manage clinic personnel, fostering a productive and motivated team environment.
  • Schedule patient appointments effectively, adjusting as necessary to optimize clinic flow.
  • Monitor patient attendance and manage follow-up communications for rescheduling.
  • Ensure all operational systems are functioning at peak performance.
  • Supervise and mentor a medium to large team of direct reports.
  • Conduct regular staff meetings to celebrate achievements, communicate policy updates, and plan upcoming events.
  • Ensure adherence to regulatory standards and procedures.
  • Address patient concerns and provide constructive feedback to clinical staff regarding care-related issues.
  • Manage inventory, including ordering supplies and addressing equipment issues.
  • Complete operational checklists on a monthly, quarterly, and annual basis.
  • Coordinate training sessions for clinic staff to enhance skills and knowledge.
  • Facilitate monthly meetings for clinical personnel to discuss performance and improvements.
  • Maintain patient records in compliance with regulations and company policies.
  • Oversee the overall appearance and functionality of the clinic.
  • Ensure facilities and equipment meet hygiene and safety standards, including OSHA regulations.
  • Monitor and manage the clinic's budget effectively.
  • Handle cash transactions responsibly.

Qualifications:

  • Bachelor's degree or equivalent experience.
  • 3-4 years of experience in office administration.
  • 2-3 years of experience in office management.
  • Proficient in Microsoft Office Suite and Google Workspace.
  • Bilingual in Spanish is preferred but not mandatory.
  • Availability to work two Saturdays per month.
  • Willingness to travel as required.
