Job Summary

Mowat Mackie & Anderson LLP is seeking a highly skilled and organized Administrative Assistant to provide exceptional support to the Partners, tax staff, and administrative team. This is a dynamic and responsive role that requires a bright, resourceful, and detail-oriented individual with a minimum of 5 years of experience in a professional services firm.

Key Responsibilities
  • Administrative Support: Provide administrative assistance to the Partners, tax staff, and administrative team, including answering routine and non-routine questions, welcoming and assisting clients, and maintaining supplies inventory.
  • Communication and Coordination: Respond to regularly occurring requests for information, schedule and organize complex activities such as meetings, catering, and department activities, and prioritize and coordinate division of workload with other administrative assistants.
  • Document Preparation: Edit and format client financial statements, process the assembly of client hard copy financial statements, and assemble confidential tax returns and packages for clients.
  • Customer Service: Provide exceptional customer service to clients, including answering questions, resolving issues, and ensuring client satisfaction.
  • Team Collaboration: Contribute to team effort by accomplishing related tasks as needed, and work collaboratively with other administrative assistants to achieve team goals.
Requirements
  • Experience: Minimum of 5 years of administrative support experience in a professional services firm.
  • Education: Minimum BA/BS degree.
  • Skills: Proficient in Microsoft Office suite, excellent proofreading abilities, strong interpersonal, customer service, and communication skills, able to efficiently multitask and prioritize workload, comfortable receiving feedback, and ability to be flexible in response to changing priorities and needs.
