Job Title: FMLA Leave Analyst (Hybrid)

Sunbelt Rentals is seeking a highly skilled FMLA Leave Analyst to join our team. As a key member of our HR department, you will be responsible for managing the FMLA leave administration process, ensuring compliance with federal and state laws, and providing exceptional support to our employees.

Key Responsibilities:
  • Manage the FMLA leave administration process from initial notice to return to work, ensuring timely and accurate processing of leave requests.
  • Communicate and coordinate with employees, HR, and management to ensure smooth leave transitions and compliance with leave laws.
  • Collaborate with HR and management to designate leaves, determine eligibility, and approve or deny leave requests.
  • Collect and review necessary documentation, determine leave eligibility, and distribute leave paperwork as needed.
  • Advise managers and employees on leave laws, paid time off, short-term and long-term disability benefits, and other related policies.
  • Facilitate communication between employees and managers during leave, ensuring compliance with leave laws and company policies.
  • Oversee the return-to-work process for employees returning from extended FMLA, military leave, or other leave(s).
  • Manage other leave requests, including accommodation requests and intermittent leave under the ADA.
  • Coordinate with disability providers to ensure proper administration of disability claims.
  • Support strategic efforts, such as automation, acquisitions, and technology solutioning, and provide critical thinking regarding absence management processes.
  • Identify trends and make recommendations for continuous process improvements to management.
  • Support Manager, Leave Administration, in providing guidance, coaching, and training to LOA Specialists.
  • Draft and/or recommend revisions to company leave policies to ensure compliance with federal, state, and local laws and regulations.
  • Maintain complete and accurate records of leave and accommodation requests in accordance with specified legal requirements and documentation of best practices.
  • Preserve confidentiality of employee medical documentation and files.
  • Maintain knowledge of all applicable leave and accommodation laws, including the FMLA, ADA, and state and local laws.
  • Interpret federal and state laws, as well as collective bargaining agreements, in regard to absence management and various EEO policies.
  • Develop and conduct LOA-related trainings for LOA Specialists and Field Management.
  • Ensure timely tracking of employee leave information in appropriate systems, such as Absentys (Leavelink) and Workday.
  • Collect and compile HR metrics and data from various sources, including core human resource information systems, pay and time inputs and outputs, case management, and telephony.
  • Prepare monthly, quarterly, and yearly dashboard leave of absence reporting metrics and participate in year-end activities.
  • Analyze data and statistics for trends and patterns with attention to leave of absence payroll processing and audits.
  • Research best practices and emerging trends, as well as metrics and analyses, to recommend improvements for operational effectiveness and efficiency.
  • Direct the maintenance of data records to ensure compliance with retention rules.
  • Coordinate with Leave Manager and other leaders to support other priorities and activities as assigned.
Requirements:
  • Bachelor's Degree or equivalent experience plus 2-3 years of administering leave of absence or related experience.
  • Extensive knowledge of the leave requirements and other legal protections afforded by the FMLA, ADA, and other applicable laws.
  • Ability to process multiple requests and maintain the highest level of organization.
  • Strong follow-through skills and ability to resolve issues in a fast-paced environment.
  • Ability to communicate effectively and provide the highest level of service across all levels of the organization.
  • Excellent verbal and written communication skills.
  • Maintain highly confidential employee personal health information and files.
  • Ensure HIPAA compliance.
  • Experience with Workday preferred.
Physical Demands:

Must be able to bend, squat, crouch, and/or reach and lift up to 25 pounds or more, as required by the job. Some Sunbelt jobs may require driving for long periods of time, loading and unloading heavy equipment, performing work in extreme weather conditions, including rain, wind, or excessive temperatures, and/or night and weekend work. All duties must be performed according to Sunbelt's safety policies and guidelines. Reasonable accommodations may be made to comply with ADA/ADAAA.

Base Pay Range: $56,832.70
