Role Overview:

As a Senior Facilities Operations Coordinator, you will be responsible for overseeing the prioritization and delegation of Preventive Maintenance task sheets and Critical Work Orders to the facilities team. Your primary focus will be to ensure that all operations during your shift are executed safely and in compliance with industry standards.

Key Responsibilities:

  • Review and verify all documentation generated during your shift for precision, clarity, and adherence to cGMP standards, including PM Task Sheets, Work Orders, and Logbooks.
  • Evaluate the equipment PM schedule and propose enhancements or adjustments to the Senior Maintenance Mechanic or Facilities Manager.
  • Generate Purchase Order Requisitions and communicate their status to the Facilities Manager.
  • Collaborate with off-site Finance teams to expedite inquiries and resolve issues efficiently.
  • Maintain the site’s security identification and access badge system.
  • Draft and assess Change Controls, CAPA Reports, and Audit Findings.
  • Report ongoing activities, challenges, and concerns regarding equipment, systems, and personnel to the Facilities Manager.
  • Coordinate system and equipment shutdowns for maintenance and repairs in collaboration with Production and Facilities Management.
  • Assist in the development of training programs alongside the Facilities Manager.
  • Provide insights for employee performance evaluations for those under your supervision to the Senior Maintenance Mechanic.
  • Oversee in-house projects as directed by the Facilities Manager.
  • Participate in various teams and attend assigned meetings.
  • Coordinate maintenance activities during scheduled outages.
  • Create and maintain departmental metrics using charts, graphs, and presentations.
  • Perform additional duties as assigned by the Facilities Manager.

Experience and Qualifications:

  • Strong familiarity with site CMMS (Blue Mountain).
  • Proficient in Microsoft Office Suite (Excel, Word, Visio, PowerPoint).
  • Excellent interpersonal and customer-facing skills.
  • General computer proficiency.
  • Ability to work independently or collaboratively with minimal supervision.
  • Knowledge of FDA and ISO regulations in a manufacturing or laboratory context is advantageous.

Educational Background:

  • Minimum requirement of a high school diploma or GED; an associate degree is preferred.
  • Must possess a valid driver's license.

Preferred Skills:

  • At least six years of experience in facilities coordination.
  • Capability to develop reliability reports to identify potential areas of concern.
  • Strong communication (oral and written), problem-solving, and leadership skills.
  • Ability to work autonomously or as part of a team with minimal guidance.
