Job Description

JOB SUMMARY: Under the supervision of the Senior Director of Food Operations and Sales, this role is pivotal in managing all procurement and inventory functions within the commercial kitchen environment. The Procurement Coordinator collaborates with suppliers, places purchase orders, monitors delivery schedules, and reconciles invoices related to kitchen operations. This position also generates pull sheets to guarantee that each cooking station receives the necessary ingredients for daily menu preparations. Furthermore, the role involves liaising with cook/chill teams and clients to ensure timely delivery of finished products. Adherence to sanitation standards and regulatory compliance is essential to support workplace safety and meet the requirements of commercial clients.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  1. Procure goods valued at approximately $3-5 million annually for kitchen operations.
  2. Adhere to budgets for raw food, meal supplies, and other necessary items for meal production and delivery.
  3. Generate orders based on menu requirements and train to manage pull sheets two weeks in advance to confirm orders. Verify accuracy and make necessary corrections, documenting changes appropriately.
  4. Become proficient in placing all orders through the designated procurement system and relay order details to the Receiving department.
  5. Ensure compliance with vendor requirements to maximize discounts whenever feasible.
  6. Collaborate with the Senior Director to maintain food costs within established financial parameters.
  7. Identify slow-moving or expired items monthly and report findings to the Senior Director, suggesting possible utilization strategies.
  8. Conduct daily verification of receipts with the warehouse to address shortages, quality concerns, or substitutions, following up with vendors as needed.
  9. Prepare pull reports for all menus 3 to 4 days prior to production, confirming in-house inventory and communicating any shortages or substitution issues to the Senior Director and Production Manager.
  10. Oversee purchasing, customer service needs, and menu planning for specific programs and accounts.
  11. Negotiate with suppliers to secure the best pricing and service guarantees.
  12. Compile and submit timely reports to the appropriate departments.
  13. Assist in addressing inquiries and providing customer service for all commercial clients.
  14. Support menu development in collaboration with the registered dietitian for programs requiring dietary approval.
  15. Ensure that menu costs align with budgetary and nutritional standards.
  16. Maintain compliance with food safety standards, including all program requirements.
  17. Ensure that food for commercial clients meets all food safety and HACCP principles.
  18. Keep the Senior Director and Production Manager informed of any issues or changes as they arise.
  19. Cross-train staff to provide backup for procurement functions.
  20. Perform additional duties as required.

EDUCATION, EXPERIENCE AND QUALIFICATIONS:

  • One to three years of experience in purchasing within a high-volume food service environment. Alternative combinations of education and experience may be considered.
  • Successful completion of ServSafe Certification with a minimum score of 75 points within the initial employment period.
  • Proficiency in computer applications, including procurement systems and Microsoft Office Suite (Word, Excel, PowerPoint).
  • Strong written and verbal communication skills, along with sound business acumen.
