Grant Management Specialist

Under general supervision, responsible for overseeing the financial aspects of specific grants or a limited number of Principal Investigators while adhering to appropriate accounting practices. Evaluate expenditure reports to ensure accurate allocation of grant funds and expenses, and collaborate with various departments to identify and rectify any accounting discrepancies. Assist Principal Investigators in the development of research grant proposals, particularly focusing on budget preparation in accordance with both internal and external agency standards.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
- Collaborate with Principal Investigators to prepare research grant submissions for both internal and external funding sources, ensuring compliance with internal policies and agency regulations. Work alongside different departments to gather cost data and prepare budgets, ensuring precision and thoroughness.
- Complete all necessary agency and HFHS pre- and post-award documentation. Serve as a liaison among Principal Investigators, Research Administration, and Fund Accounting to guarantee that all pre- and post-award requirements are fulfilled and any issues are resolved.
- Coordinate and oversee the accounting and budgeting system on a monthly basis for specific grants or a limited number of Principal Investigators. Analyze financial reports and engage with Fund Accounting to clarify and amend discrepancies. Work with Principal Investigators and Fund Accounting to ensure that revenues and expenditures are managed correctly and align with project awards, agency guidelines, and internal policies.
- Utilize a computerized system to provide Principal Investigators with regular budget forecasts.
- Ensure timely completion of salary allocations and time and effort reports to guarantee that personnel costs are accurately charged and reported monthly.
- Act as a liaison between the funding agency, Principal Investigators, Research Administration, and Fund Accounting to gather necessary information for initiating subcontracts, consultant agreements, and service contracts. Review contracts and agreements to ensure compliance with financial reporting requirements.
- Stay informed about agency and HFHS guidelines to maintain compliance.
- May assist with Human Resources processes by helping with hiring documentation and addressing employee inquiries regarding HR matters, benefits, and procedures.
- Requires completion of college coursework in Accounting, Finance, Business, or a related field, with proficiency in Excel or similar software. A Bachelor's degree is preferred.
- Minimum of three to four (3-4) years of relevant experience.
- Strong analytical skills with a keen attention to detail.
- Effective interpersonal, verbal, and written communication skills.
