GENERAL OVERVIEW:

Under general oversight, responsible for tracking the financial health of specific grants or a limited number of Principal Investigators by employing appropriate accounting practices. Evaluate expenditure reports to ensure accurate allocation of grant resources and collaborate with various departments to identify and rectify any accounting discrepancies. Aid Principal Investigators in the development of research funding proposals, particularly focusing on budget preparation in alignment with both internal and external agency standards.

KEY RESPONSIBILITIES:
  • Collaborate with Principal Investigators to prepare research funding applications for both internal and external sources, ensuring compliance with internal and agency regulations. Work alongside multiple departments to gather cost information and prepare budgets, ensuring precision and thoroughness.
  • Complete all necessary agency and HFHS pre- and post-award documentation. Serve as a point of contact between Principal Investigators, Research Administration, and Fund Accounting to guarantee that pre- and post-award obligations are fulfilled and all issues are addressed.
  • Oversee and review accounting and budgeting systems monthly for specific grants or a limited number of Principal Investigators. Analyze financial reports and engage with Fund Accounting to clarify and resolve discrepancies. Collaborate with the Principal Investigator and Fund Accounting to ensure that income and expenses are appropriately managed in accordance with project awards, agency regulations, and internal policies.
  • Utilize a computerized system to provide the Principal Investigator with consistent budget forecasts.
  • Ensure the prompt completion of salary allocations and time and effort reports to guarantee that personnel costs are accurately charged and reported monthly.
  • Act as a liaison between the funding agency, Principal Investigators, Research Administration, and Fund Accounting to gather necessary information for initiating subcontracts, consultant agreements, and service contracts. Review contracts/agreements and monitor compliance with financial reporting requirements.
  • Stay informed about agency and HFHS guidelines to ensure compliance.
  • May assist with Human Resources functions by supporting the hiring process, including paperwork completion and addressing employee inquiries regarding HR matters, benefits, and procedures.
EDUCATION/EXPERIENCE REQUIRED:
  • Completion of college coursework in Accounting, Finance, Business, or a related field, with proficiency in Excel or similar software. A Bachelor's degree is preferred.
  • A minimum of three to four (3-4) years of relevant experience.
  • Strong analytical skills with a keen attention to detail.
  • Excellent interpersonal, verbal, and written communication abilities.
