Job Summary

We are seeking a highly organized and detail-oriented Office Manager to oversee our office operations and support our HR and administrative functions. The ideal candidate will facilitate effective communication with clients, manage the hiring process, and ensure smooth office administration.

The ideal candidate will have at least 7 years of prior administrative experience working in an office supporting multiple levels of employees. He/she should present an approachable tone and have excellent communication skills. The ideal candidate should have a healthy initiative and be able to anticipate needs.

Key Responsibilities:

  • Perform general office administrative tasks and light accounting assignments.
  • Handle payroll functions in compliance with organizational policies.
  • Maintain accurate records of incoming and outgoing payments.
  • Process invoices for both accounts payable and accounts receivable.
  • Manage HR functions, including employee onboarding and record-keeping.
  • Screen and interview potential candidates based on job postings.
  • Schedule and coordinate meetings, ensuring effective communication among all parties.
  • Complete additional tasks as assigned to support office operations.

Minimum Qualifications:

  • Bachelor's degree in Business Administration, Accounting, Engineering, Computer Science, or Construction Management (preferred).
  • A minimum of 7 years of full-time experience in office management or administrative roles.
  • Local San Francisco Bay Area resident preferred.
  • Valid California Driver's License and Work Permit (Green Card/US Citizen) required.
  • Exceptional written, interpersonal, and communication skills, with the ability to collaborate effectively with staff, clients, and external agencies.
  • Proficient in Microsoft Word, Excel, and PowerPoint.
  • Strong problem-solving abilities, including the capacity to identify and resolve data quality issues.
  • Excellent organizational skills, with the ability to prioritize tasks and work independently.
  • Detail-oriented and results-driven, with a proven ability to meet deadlines with minimal supervision.
  • Sound professional judgment and decision-making skills.
