Job Overview

Key Responsibilities:
  • Administrative Support: Provide assistance to the VP of Programs Administration and the Director of Facilities in managing vendor and agency communication, ensuring seamless coordination and resolution of issues.
  • Documentation Management: Maintain an organized filing system for violation certifications, guaranteeing easy access to necessary reports and documents.
  • Database Management: Input and update information in databases and spreadsheets, ensuring accuracy and up-to-dateness of records.
  • Coordination and Collaboration: Work closely with maintenance staff and outside vendors to gather necessary documentation for violation certification, fostering effective communication and teamwork.
  • Correspondence and Communication: Manage and respond to queries and emails in a timely and professional manner, providing excellent customer service.
Requirements:
  • Education: Associate's Degree required.
  • Experience: 2 years of Administrative experience required, with Facilities or Operational experience preferred.
  • Skills: Strong customer service, computer proficiency (spreadsheets, word processing), and administrative skills.
  • Knowledge: Familiarity with NYC Department of Buildings Regulations required.
  • Language: Bilingual skills in English/Spanish a plus.
