Position Function

As a key player in the Events Management division, you will be responsible for planning, organizing, and executing impactful community events. This role requires a blend of strong communication, negotiation, and organizational skills, along with a creative approach to ensure successful event outcomes.

Key Responsibilities

Event Planning and Execution:
  • Design and implement engaging community events that enhance the experience for residents and the broader community. Ensure all operational needs are met, including logistics, equipment, and vendor coordination.
  • Oversee the entire event lifecycle from conception to execution, ensuring adherence to timelines and strategic outreach to target audiences. Manage site operations, including staff, security, and vendor relations.
  • Develop and maintain relationships with vendors to ensure compliance and effective communication throughout the event planning process.
  • Administer event budgets, ensuring financial efficiency and compliance with established guidelines. Propose and implement strategies for revenue generation.
Sponsorship Management:
  • Identify and secure sponsorships for events, aligning with the City’s programming needs.
  • Work collaboratively with various departments to enhance sponsorship sales and track commitments from partners. Stay informed on industry trends and competitive landscapes.
  • Build and nurture relationships with potential sponsors, crafting tailored proposals that meet their objectives and the City’s needs. Negotiate terms to ensure mutual benefits.
  • Coordinate sponsor deliverables, ensuring visibility and engagement during events. Provide comprehensive post-event analysis to demonstrate value to sponsors.
Collaboration and Communication:
  • Engage with internal teams to align event strategies with organizational goals and community programming.
  • Deliver exceptional customer service by addressing inquiries and resolving issues for both internal and external stakeholders.
  • Manage multiple projects effectively while meeting tight deadlines in a dynamic environment.
  • Ensure compliance with safety regulations and promptly report any hazards. Be prepared to work flexible hours, including evenings and weekends, as required.
  • Participate in emergency response efforts as needed and complete required training as per the City’s emergency management protocols.
Qualifications

Minimum Qualifications:
  • Bachelor's degree in Event Planning or a related field; or an equivalent combination of education and experience.
  • A minimum of four years of experience in event planning or management.
  • At least two years of recent experience in fundraising, sponsorships, and public relations.
  • Proficiency in Microsoft Office Suite and professional social media engagement.
  • Strong oral and written communication skills, including experience in presentation preparation.
  • Valid driver's license; must obtain a Florida driver's license within thirty days of employment.
Preferred Qualifications:
  • Master's degree in Hospitality, Event Planning, or a related field.
  • Certification as a Special Events Professional (CSEP).
  • Completion of Crowd Management Training within three months of employment.
