Position Overview

As a key member of the Events Management team, you will be responsible for the comprehensive planning, organization, and execution of impactful community events. This role demands exceptional communication, negotiation, and organizational skills, coupled with a creative approach to ensure the success of each event.

Key Responsibilities

Event Planning and Execution:
  • Design and implement engaging community events that enhance the experience for residents and the broader community. Ensure all operational requirements are met, including logistics, equipment, and necessary permits.
  • Oversee the entire lifecycle of community events, from conception to execution, ensuring timely completion of all project milestones. Develop promotional strategies to effectively reach target audiences.
  • Maintain and foster relationships with vendors for all city events, ensuring compliance and effective communication.
  • Administer event budgets, ensuring financial efficiency and adherence to fiscal policies. Propose and implement strategies for revenue generation within established guidelines.
Sponsorship Management:
  • Identify and secure sponsorships for annual and event-specific needs, aligning with the City’s programming goals.
  • Collaborate with various departments to enhance sponsorship sales efforts, ensuring commitments are tracked and deadlines are met. Stay informed about trends in the sponsorship landscape.
  • Build and nurture relationships with potential sponsors, creating tailored sponsorship packages that meet their objectives and the City’s needs. Negotiate agreements that are beneficial for all parties involved.
  • Coordinate deliverables for sponsors, ensuring visibility and brand alignment during events. Provide comprehensive post-event evaluations to sponsors, highlighting the impact of their support.
Collaboration and Communication:
  • Work closely with internal teams, including marketing and operations, to ensure event strategies align with overall business objectives.
  • Deliver outstanding customer service, addressing inquiries and resolving issues for both internal and external stakeholders.
  • Manage multiple projects under tight deadlines in a dynamic environment. Ensure safety protocols are followed and report any hazards immediately.
  • Be prepared to work flexible hours, including evenings and weekends, as required for event preparations and emergencies.
Qualifications

Minimum Qualifications:
  • Bachelor's degree in Event Planning or a related discipline; or an equivalent combination of education and experience.
  • A minimum of four years of experience in event planning or management.
  • At least two years of recent experience in fundraising, sponsorships, and public relations.
  • Proficiency in Microsoft Office Suite and social media platforms.
  • Strong oral and written communication skills, including the ability to prepare presentations.
  • Valid driver's license; must obtain a Florida driver's license within thirty days of employment.
Preferred Qualifications:
  • Master's degree in Hospitality, Event Planning, or a related field.
  • Certification as a Special Events Professional (CSEP).
  • Completion of Crowd Management Training within three months of employment.
