Event Planning and Management:

Strategically design, organize, and implement impactful community events aimed at enhancing the overall experience for residents and the broader community.

Facilitate the acquisition of necessary operational resources, including communication tools, equipment, rental services, and electrical setups.
Oversee community events from conception to execution, ensuring adherence to timelines and project milestones. Formulate comprehensive plans to promote events and engage target demographics. Supervise event site logistics, encompassing production teams, security personnel, inspectors, guest services, sponsors, and vendors.
Maintain and nurture relationships with both new and existing vendors for all municipal events. Ensure vendor compliance, effective communication, and development.
Administer event budgets, guaranteeing cost efficiency and compliance with financial protocols. Propose, develop, and execute strategies for generating event revenue within established guidelines.

Sponsorship Development:
Acquire annual and event-specific sponsorships to fulfill the needs of the municipality and its programming objectives.

Collaborate with key departments and cross-functional teams to bolster sponsorship sales initiatives, aiming to meet and surpass financial targets while tracking commitment timelines for both new and existing partners.

Stay informed about the sponsorship industry landscape, conducting competitive analysis, monitoring market trends, and observing key activities across sectors such as government, music, sports, and entertainment.

Cultivate and foster relationships with potential sponsors, utilizing networking opportunities and industry connections. Create tailored sponsorship packages and proposals that align with the goals of prospective sponsors and the municipality. Negotiate sponsorship contracts, ensuring mutually beneficial terms and deliverables.
Coordinate sponsor commitments, including logo placements, advertising opportunities, and event branding visibility. Deliver post-event evaluations and reports to key municipal staff and sponsors, illustrating the value and impact of their contributions.

Collaboration and Communication:

Work in partnership with internal teams, including communication, marketing, administration, and operations, to synchronize event strategies with overarching business objectives and execute community programming effectively.

Provide exemplary customer service by engaging with both internal and external stakeholders to address inquiries and resolve issues.
Manage tight deadlines while juggling multiple projects and priorities in a dynamic environment.
Promptly identify and report any safety hazards, ensuring compliance with safety regulations and protocols.
Be prepared to work evenings, early mornings, weekends, and holidays as necessary for event preparations and breakdowns. Remain available for emergency situations.
Travel to various municipal locations as required. Perform additional responsibilities as assigned.

In emergency situations, all personnel are deemed essential and may be required to undertake duties outside their standard job description.

Complete all mandated training as outlined in the municipal Comprehensive Emergency Management Plan.

MINIMUM QUALIFICATIONS:
A bachelor's degree in Event Planning or a related discipline; or an equivalent combination of training, education, and experience.
A minimum of four (4) years of experience in event planning or management.
At least two (2) years of recent experience in fundraising, sponsorships, and public relations.
One (1) year of demonstrated proficiency in Microsoft Office Suite and professional social media engagement.
Exceptional oral and written communication skills, including the ability to prepare presentations.
A valid driver's license is required. Must obtain a Florida driver's license within thirty (30) days of employment.

PREFERABLE QUALIFICATIONS:
A master's degree in Hospitality, Event Planning, or a related field.
Certification as a Special Events Professional (CSEP).
Completion of Crowd Management Training within three (3) months of employment.

Applicants will be required to complete a Disclosure & Authorization Regarding Background Investigation, a Confidentiality Agreement, and a criminal background screening.

Driving history for the past three (3) years must reflect no violations of a driving-related felony offense, or driving under the influence (DUI) which includes both drugs and alcohol, reckless driving, or hit and run involving an occupied vehicle or attended property, or an accumulation of traffic violations, plus three (3) points for each attendance at driving school (regardless of whether points were assessed against the license) where the penalty points do not exceed twelve (12).
