Job Overview

Position Summary:

We are seeking a highly skilled Senior Executive Assistant to provide comprehensive support to the Chief Executive Officer. This role is pivotal in ensuring the smooth operation of the executive office and serves as the primary liaison for internal and external stakeholders.

Key Responsibilities:

  • Executive Support: Manage a dynamic calendar for the CEO, coordinating appointments and ensuring efficient access to the executive office.
  • Prepare and submit expense reports accurately and in a timely manner.
  • Organize intricate travel arrangements, including itineraries and agendas.
  • Draft and edit correspondence, reports, and other documents as required.
  • Maintain organized filing systems for the CEO and administrative records.
  • Prioritize and address conflicting demands, ensuring timely completion of projects.

Board Liaison:

  • Prepare and distribute minutes and materials for Board and Committee meetings.
  • Coordinate logistics for meetings, including scheduling and catering arrangements.
  • Act as the liaison between the CEO and the Board of Directors, maintaining confidentiality and discretion.
  • Assist Board members with travel and accommodation arrangements as necessary.

Administrative Duties:

  • Schedule and manage administrative meetings, including preparation and distribution of meeting materials.
  • Participate as a member of the Executive Team, assisting with scheduling and attending meetings as needed.
  • Facilitate travel arrangements for administrative staff and manage related expenses.
  • Perform additional tasks as assigned by the CEO.
