JOB DESCRIPTION
Objective:

The Document Management Specialist is tasked with systematically organizing and filing all financial documents in their designated locations. This filing process is crucial for maintaining efficient office operations.

In addition to filing duties, the role involves handling cash transactions as a part-time cashier, where the individual receives payments from customers and staff for products and services, ensuring accurate recording of all transactions.

This position often represents the final point of contact for customers, necessitating a friendly and professional demeanor.

The cashier also supports the accounting department with specific tasks as assigned.

(Availability to work on Saturdays is required)

Key Responsibilities:

Document Management:

  • Organizing and filing documents efficiently
  • Digitizing repair orders through scanning
  • Familiarity with automotive dealership accounting is advantageous, as it aids in office support

Cashier Duties:

  • Accurately calculate customer bills using the dealership's software.
  • Process cash, checks, and credit card payments from customers, ensuring correct documentation on repair orders and/or counter tickets.
  • Provide accurate change and issue receipts to customers, ensuring all repair orders are signed at the time of payment.
  • Compile and record totals of counter tickets and repair orders, reconciling with all forms of payment at the end of the shift.
  • Direct customers with further inquiries to the appropriate service advisor or staff member.
  • Address customer complaints with professionalism and refer them to the suitable personnel for further assistance.
  • Maintain timely service file organization.
  • Perform additional tasks as assigned by management.
  • Adhere to all company safety protocols and promptly report any incidents to a supervisor.
  • Ability to read and understand instructions and information.
  • Basic proficiency with computers and office equipment (such as copiers, credit card machines, telephones, and adding machines) is essential for cashiering and clerical responsibilities.
  • Maintain a professional appearance.
  • Exhibit a friendly and helpful attitude while interacting with customers.

  • All candidates must demonstrate the ability to pass pre-employment screenings, including background checks, MVR, drug tests, credit reports, and possess a valid driver's license.

Qualifications:

  • Self-motivated with the ability to prioritize tasks and manage time effectively.
  • Strong interpersonal and verbal communication skills.
  • High School Diploma or equivalent.
  • All candidates must be authorized to work in the USA.
