Job Overview

Position Summary:

The role involves providing essential support to construction project management teams in the organization and execution of various projects. You will collaborate closely with the project manager to develop detailed action plans that encompass resources, timelines, and data collection strategies for each project.

Key Responsibilities:

  • Assist the Project Manager in coordinating project schedules.
  • Participate in project and staff meetings.
  • Develop and maintain comprehensive project checklists.
  • Utilize bidding software to create and manage projects.
  • Conduct research on bidding opportunities and engage local subcontractors/vendors for project bids.
  • Compile and manage the bidders list.
  • Organize project documentation within the bidding software.
  • Monitor bidding progress to ensure all scopes of work are adequately covered.
  • Distribute addendums and communication bulletins to all bidders, awarded subcontractors, and site supervisors.
  • Build project frameworks in Procore.
  • Issue and manage subcontracts, purchase orders, and change orders.
  • Track and log the return of subcontracts, purchase orders, and change orders.
  • Verify insurance certifications and coverage for each subcontractor per project.
  • Compile, log, and distribute submittals to the project team and subcontractors.
  • Request and track closeout documents, including final reconciliation forms, warranties, and operation & maintenance data.
  • Assemble warranty and operation & maintenance binders for both the owner and company records.
  • Maintain checklists and field copies for site supervisors.
  • Print and distribute plan sets as required, and send plan sets and samples to site supervisors.
  • Organize and archive all project documents for project managers.
  • Assist with front desk and phone duties as necessary.

Qualifications:

  • High school diploma or GED required; college education preferred but not mandatory with relevant experience.
  • Minimum of 2 years of experience in the construction industry as a Project Coordinator or Administrative Assistant, with familiarity in bidding and vendor processes.
  • Experience with construction project management software is preferred (Procore is a plus but not essential).
  • Proficient in project management software.
  • Intermediate skills in MS Office applications (Excel, MS Project, Outlook).
  • Strong written and verbal communication skills are essential.
