Position Overview:

As a CPS Regional Administrative Coordinator III, you will operate under the guidance of the CPS Regional Director, exercising considerable autonomy in executing intricate administrative functions.

Your responsibilities will encompass the assessment and analysis of data, the creation of tracking mechanisms, and the provision of up-to-date information to CPS management personnel. You will leverage sophisticated automated systems and software for data retrieval, entry, and dissemination.


Key Responsibilities:


  • Draft, review, modify, and distribute various forms of printed and digital communications, reports, and documentation.
  • Assist in the compilation and input of data from program tracking and reporting systems.
  • Manage the flow of incoming and outgoing correspondence for the Regional Director.
  • Oversee the procurement, receipt, and distribution of office supplies and furniture.
  • Maintain comprehensive filing and record management systems, acting as the regional records administrator.
  • Serve as a liaison between the Regional Director and regional, state office, and administrative personnel, tracking and coordinating inquiries and administrative tasks.
  • Address inquiries and complaint calls, providing responses, taking messages, and offering referral information to clients or staff.
  • Organize travel arrangements and prepare necessary vouchers and documentation.
  • Coordinate and execute special projects and assignments related to various program activities, while performing additional duties as required to ensure operational continuity.
  • Foster and exemplify respect for cultural diversity among colleagues and all professional interactions.
  • Maintain regular attendance in accordance with agency policies.

  • Proficiency in both verbal and written communication.
  • Experience in providing support within an office environment for multiple staff members.
  • Competence in utilizing personal computers and various software applications.
  • Capability to engage with all levels of personnel.
  • Ability to work independently in a dynamic, fast-paced setting.
  • Proficiency in operating personal computers and essential software packages (including Word, MS Office, and Excel).
  • Aptitude for managing multiple tasks in a rapidly changing environment.
