Job Overview:

Senior Administrative Coordinator

The Senior Administrative Coordinator is responsible for supporting the management of the Interest List Management (ILM) Unit.

This role encompasses intake procedures, service coordination, intricate complaint resolution, and providing consultation and technical support, along with extensive coordination and problem-solving related to Medicaid waiver initiatives.

Responsibilities include ensuring compliance with contracts, policies, procedures, and guidelines to maintain alignment with program requirements, identifying recurring challenges within the programs, and communicating with management to propose enhancements.

This position operates with minimal supervision and requires a significant degree of initiative and independent judgment.

Key Responsibilities:
1. Maintains regular attendance in accordance with agency policies.

Manages, monitors, and performs data entry in the Community Services Interest List (CSIL) system and the HHS Enterprise Administrative Report and Tracking System (HEART).

Handles incoming interest list inquiries via the toll-free intake line, directing calls to the appropriate departments and taking messages as needed.

(35%) 2. Manages interest list releases, tracks responses, and follows up with individuals to ensure timely and appropriate feedback. (30%) 3.

Facilitates the sharing of forms and documents for interest list individuals between various organizational units and with relevant regional and state office personnel.

(10%) 4. Composes and types correspondence, form letters, and memorandums related to the interest list. (10%) 5.

Conducts interest list outreach, sends letters to correct addresses, and investigates returned mail using the Service Authorization System (SAS) and Texas Integrated Eligibility Redesign System (TIERS).

(5%) 6. Tests the CSIL system to ensure accurate outcomes. (5%) 7. Completes additional tasks, projects, or assignments as requested by management. (5%)

Required Knowledge, Skills, and Abilities:

Familiarity with community resources available for elderly individuals or those with disabilities. Ability to convey complex information in a clear and approachable manner. Proficiency in reading and interpreting various forms of information. Competence in writing instructions and developing timelines that are easy to understand. Ability to create and update Excel spreadsheets. Skill in entering data into automated systems while managing phone communications. Capability to conduct research and compile detailed reports of findings.
