Job Description:

Program Specialist III

Under the supervision of the PIET Manager, the Community Engagement Coordinator (Program Specialist III) undertakes intricate administrative and technical support tasks to facilitate meeting coordination, grant reporting, and effective communication.

This role encompasses the planning, development, and execution of vaccination initiatives, alongside providing consultative services and technical assistance tailored to outreach and communication requirements.

Operates under general oversight, exercising moderate discretion in the application of initiative and independent judgment.

Key Responsibilities:

  • Maintains regular attendance in accordance with agency leave policies and performs additional duties as required.
  • (30%) Serves as an Immunization communications liaison, aiding in local outreach coordination, grant management, and the creation of procedures, forms, templates, manuals, and other regional outreach and communication materials. May develop, manage, and revise templates, forms, and documentation pertinent to community-based grant programs.
  • (20%) Provides support services such as generating reports, tracking projects, and other administrative tasks. Collaborates closely with colleagues to produce quarterly reports that showcase community engagement initiatives across various regions. Keeps a calendar of regional outreach activities, including community events, workshops, appearances, and other communication opportunities.
  • (20%) Aids in the creation and distribution of vaccine-related community engagement materials. Collaborates with regional contacts to identify messaging gaps.
  • (15%) Assists in the collection and evaluation of regional and community-based organization grant reports. Aids in coordinating on-site evaluations of grantees.
  • (10%) Supports the organization of meetings and training sessions for public health regions, local health departments, and community-based organizations.
  • (5%) Performs other assigned duties, which may include actively participating in or supporting the agency's responsibilities for disaster response and/or recovery or Continuity of Operations (COOP) activation. Such involvement may necessitate an alternate shift pattern assignment and/or location.

  • Proficiency in grant management.

  • Proficiency in Microsoft Office applications, with extensive use of Microsoft Word, Excel, Visio, and Lifecycle.
  • Ability to prepare reports, manuals, and technical documentation.
  • Skill in editing reports and correspondence.
  • Ability to compose clear and concise reports and correspondence.
  • Proficiency in developing and delivering presentations.
  • Capability to perform and interpret qualitative and quantitative data.
  • Ability to devise solutions to challenges.
  • Strong communication skills, both oral and written, with persuasive abilities.
  • Capacity to prioritize and manage multiple tasks while meeting deadlines.
