About the Role

Total Document Solutions is a woman-owned business committed to diversity and inclusion. We are looking for a skilled Back Office Operations Assistant to join our team. As a key member of our operations team, you will play a vital role in driving company success by providing exceptional back office support and occasional front desk reception, clerical and administrative functions.

Main Responsibilities:

  • Preparing and distributing correspondences and other formal documents
  • Managing mail, packages, and correspondence in a timely manner
  • Providing high-level reprographic support and assisting with presentation creation
  • Scheduling meetings and events, including setting up conference rooms
  • Greeting and assisting onsite guests with professionalism and courtesy
  • Answering inbound telephone calls in a busy environment
  • Developing and implementing organized filing systems
  • Performing all other office tasks as needed
  • Maintaining positive working relationships with building engineers and security personnel
  • Communicating clearly and professionally with clients

Requirements:

  • Bachelor's degree preferred
  • Previous experience in reception and office services support, administration
  • Ability to prioritize and multitask effectively
  • Excellent written and verbal communication skills
  • Strong attention to detail
  • Strong organizational skills

Compensation:

The estimated salary for this position is $45,000 - $60,000 per year, commensurate with experience. A competitive full benefits package includes generous PTO, medical insurance, dental and vision insurance, FSA, HSA, 401K, and life insurance, as well as bonuses.
