Property Management Associate

Position Summary
The Property Management Associate plays a vital role in supporting the operational functions of property management. This position is essential for ensuring a high level of professionalism and nurturing positive interactions with tenants and clients.
Key Responsibilities
- Deliver comprehensive administrative assistance, including managing phone communications, preparing documents, generating reports, organizing files, and distributing correspondence. Oversee office supply inventory in the absence of a property manager.
- Support lease management tasks, including summarizing lease agreements and maintaining an up-to-date database, conducting property tours, and executing lease agreements.
- Ensure all property documentation is organized and systematically maintained, including leases and contracts.
- Prepare and manage proposals for bids and service agreements.
- Generate aging reports for management and follow up on outstanding payments, adhering to company policies.
- Ensure timely processing of invoices in the accounting system with appropriate documentation, following established protocols.
- Coordinate tenant move-ins and move-outs, including the logistics of furniture delivery and retrieval.
- Supervise the maintenance of work orders and purchase order systems.
- Develop and maintain a comprehensive Tenant Service Package, which includes tenant handbooks, anniversary acknowledgments, holiday gifts, community events, quarterly newsletters, and training programs for tenants. Ensure tenant information in the database is accurate and current.
- Update and refine office procedures in the Property Operations Manual under the guidance of the manager.
- Verify that Certificates of Insurance for tenants and vendors are current.
- Oversee the processing of hours worked by management and maintenance staff, as well as expense reports and check requests for approval.
- Ensure timely processing of tenant bill-backs for utilities and additional charges.
- Assist the supervisor in preparing annual budgets and monthly financial reports, including bank deposit preparations if managed on-site.
- Lead regular inspections of properties alongside janitorial and landscaping service providers, as directed by the manager.
- Participate in the performance evaluation of all service contractors providing contracted services.

Education Requirements
- High school diploma or GED; Bachelor's Degree is preferred.
Experience Requirements
- A minimum of 1 year in real estate property management or a related field.
Additional Qualifications
- Proficient in Microsoft Office Suite.
- Demonstrates initiative and a sense of urgency in daily responsibilities by meeting or exceeding deadlines.
- Familiarity with the Rent Manager system is advantageous.
