Job Summary

We are seeking an Administrative Assistant to support our supervisors with calendars, meetings, and various tasks. The successful candidate will have excellent communication and organizational skills, with the ability to work independently and as part of a team.

Key Responsibilities

• Assist supervisors with calendars and meetings
• Assist with booking travel for business trips, including hotel, flights, rental car, and contacting customers or various parties to ensure all necessary information is obtained
• Compile travel packets with important documents related to travel
• Assist with various tasks, such as scanning documents, emailing documentation, and gathering information
• File various paperwork into job folders
• Generate delivery tickets for shipping
• Assist with mailing checks to vendors and file copies of invoices with check stubs in folders
• Collect and organize incoming mail
• Answer and screen phone calls, taking messages when needed
• Greet and sign in/out visitors at the front desk
• Help prepare for important meetings, ensuring the conference room is tidy and ordering refreshments/lunch when required
• Collect, scan, record on a spreadsheet, and file all NDAs and patent information
• Organize and order holiday gifts for customers
• Prepare and distribute company shop notices as needed
• Assist with organizing and distributing employee apparel
• Perform various other clerical duties as assigned

Requirements

• Strong organizational skills
