ROLE SUMMARY

The Project Management Assistant collaborates with various departments including Estimating, Sales, CAD, Construction, and Project Management to handle administrative tasks associated with ongoing projects. This role also acts as a secondary point of contact for clients in the absence of the Project Manager.

Key Responsibilities:

  • Offer administrative support to Project Management, Estimating, Sales, and Construction teams.
  • Assist in planning and organizing project schedules and related administrative duties.
  • Coordinate contractual obligations, design documents, and project submissions under the guidance of Project Management.
  • Support Sales with necessary administrative tasks, including:
  • Managing prequalification documentation and generating reports as needed.
  • Organizing and maintaining project documentation; contributing to process improvement initiatives.
  • Regularly update the project management database.
  • Create and maintain essential administrative files.

Examples include:

  • Preparing inspection packages, transmittal letters, insurance certificates, shipping documents, credit applications, tax exemption forms, and other required submissions.
  • Collaborating with the Accounting department on internal invoicing processes.
  • Distributing project information to the engineering team.
  • Applying for and finalizing necessary permits.
  • Managing jurisdictional licensing applications.
  • Distributing permit drawings, elevation forms, field request forms, anchor bolt shipment requests, and warranty request forms as needed.
  • Upholding the company's standards for customer service and quality workmanship.
  • Embodying the company's core values in all aspects of work.
  • Performing additional related duties as assigned.

Required Skills and Qualifications:

Exceptional communication skills and a strong team-oriented mindset are essential.

Proficiency in Microsoft Office is required.

Experience with Project Management software is advantageous.

Familiarity with AutoCAD is a plus.

Detail-oriented with a focus on deadlines.

Ability to manage multiple tasks in a fast-paced environment.

Strong organizational skills, self-management, and positive interpersonal skills are necessary.

Must thrive in a collaborative team environment and demonstrate a team-first attitude.

Knowledge of the construction sector is beneficial.

Must be efficient, results-driven, adaptable, and goal-oriented.

Education and Experience:

  • A minimum of three years of experience in Project Management Support within the construction field is preferred.
