POSITION SUMMARY

Under general supervision, this role is responsible for facilitating office functions and performing clerical tasks in accordance with established protocols and procedures, while also undertaking related duties as necessary.


KEY RESPONSIBILITIES
- Prepare and type various documents including reports, letters, and financial instruments.
- Manage incoming calls and provide routine information to the public both over the phone and in person.
- Organize and maintain files for correspondence, spreadsheets, and reports.
- Update records by posting relevant information.
- Handle cash transactions, ensuring accurate receipts are issued.
- Assist in payroll preparation and verification.
- Perform basic mathematical calculations as needed.
- Verify the accuracy of records, correspondence, and reports.
- Operate various office equipment efficiently.
- Support community events and initiatives.
- Process applications, permits, licenses, and other documentation in line with established guidelines.
- Complete tasks accurately and within designated timeframes.
- May be required to manage sensitive or confidential information.
- Provide comprehensive support to the Administrative Assistant in all office-related activities.

QUALIFICATIONS
Knowledge, Skills & Abilities:
Knowledge of:
Modern office practices, procedures, and equipment; proficiency in computer systems and software including Word, Excel, and Outlook; business mathematics; grammar, composition, and spelling; strong organizational capabilities.

Ability to:
Demonstrate clerical proficiency; perform rapid and accurate numerical computations; utilize alphabetical and numerical filing systems; maintain organized filing systems and records; comprehend and follow both written and verbal instructions; deliver exceptional customer service; foster effective working relationships with colleagues.

Education and Experience: High school graduation or equivalent, supplemented by coursework in office practices. Prior clerical experience is required. Typing speed of at least 35 words per minute is necessary.

Licenses/Certificates: A valid Class C California Driver's License with a clean driving record is required and must be maintained throughout employment.
