Mission: The Archdiocese of San Antonio is dedicated to fostering a supportive environment for pregnant and parenting adolescent mothers and their children, aiming to disrupt cycles of hardship and adversity through education and comprehensive support services.

Summary:

As a Bilingual Administrative Coordinator, you will provide essential administrative assistance to the Program Director. Your role will be pivotal in ensuring adherence to internal protocols and regulatory standards concerning documentation and filing for each resident. You will engage in data entry, organization of files, scheduling, and word processing tasks as directed by the Program Director, while collaborating closely with program staff under their supervision.

Position Responsibilities:

  • *Assist in compiling and dispatching daily census reports.
  • *Oversee the preparation of quarterly reports, including client counts.
  • *Manage UAC Portal tracking deadlines and input client data.
  • *Monitor program financial receipts and maintain necessary documentation as assigned.
  • *Organize and track assignments and deadlines for the Program Director.
  • *Evaluate and report on internal metrics and tracking tools to the Program Director.
  • *Prepare various reports for ORR as required.
  • *Track notifications, service plans, and extension letters, collecting supporting documents.
  • *Assist in organizing and participating in bi-weekly staffing meetings, documenting minutes, and disseminating information to staff.
  • *Research community resources for classes, activities, and collaborative opportunities beneficial to clients.
  • *Perform additional duties as assigned by the Director, Senior Director, or Vice President.

Minimum Qualifications:
  • Education
    • High School Diploma or Equivalent; an associate or bachelor's degree is preferred.
  • Experience
    • At least 1 year of experience in an administrative support role is preferred.
  • License and Credentials
    • Reliable transportation
    • Valid driver’s license
    • Valid vehicle insurance
  • Must provide immunization records.
  • Must undergo a state and federal background check, child abuse and neglect registry check, and tuberculosis screening.
  • Must be physically, mentally, and emotionally capable of performing assigned tasks and possess the necessary skills for essential duties.
Minimum Knowledge and Skills:
  • Proficient in computer software and MS Office applications (e.g., MS Word, Excel, Outlook, OneDrive).
  • Ability to apply basic mathematical concepts including addition, subtraction, multiplication, and division.
  • Capability to calculate statistics accurately.
  • Detail-oriented, organized, self-motivated, and able to work independently as well as part of a team.
  • Strong written and verbal communication skills.
  • *Bilingual: Proficient in English and Spanish, with strong reading, writing, speaking, and comprehension skills.
Travel Requirements:

Travel for this position includes 10% local and 10% overnight.
