Job Overview

We are seeking a dedicated Legal Support Specialist to assist our legal team in various administrative and operational tasks.

Key Responsibilities

Primary duties include:

  • Organizing calendars, coordinating appointments, and ensuring compliance with attorney deadlines.
  • Overseeing electronic case files and maintaining physical case documentation.
  • Collecting and compiling pertinent facts and information for legal proceedings.
  • Supporting attorneys in preparation for court appearances, depositions, and trials.
  • Drafting legal documents including pleadings, motions, and other necessary paperwork.
  • Exhibiting strong writing capabilities.
  • Executing general clerical tasks such as answering calls, filing, and photocopying.
  • Reviewing legal documents, including settlement stipulations.
  • Uploading legal documents to the New York State Court Electronic Filing System (NYSCEF).
  • Entering data into LTX and BJ Murray software; familiarity with these programs is advantageous but not mandatory.
  • Maintaining client communication to keep them informed about case developments.
  • Monitoring case expenses by verifying outstanding balances with attorneys, clients, and service providers.
  • Safeguarding confidential information to protect the firm’s interests.
  • Performing additional responsibilities as required.
Qualifications

  • Exceptional time management and prioritization skills to meet deadlines.
  • Proficient in handling both electronic and physical documents.
  • Strong organizational and interpersonal abilities.
  • Excellent written and verbal communication skills.
  • A team-oriented mindset.
  • High school diploma or equivalent is required.
  • A paralegal certificate from an ABA-accredited program is highly preferred.
  • Completion of business school training as a secretary is beneficial.
  • A minimum of two years of relevant experience is required.
  • Proficiency in Microsoft Excel, Word, and Outlook.
  • Ability to manage multiple tasks with flexibility in a dynamic environment.
