Job Overview

Position Summary

The Scheduling Coordinator 1 plays a crucial role in delivering exceptional customer service while managing the scheduling of appointments. This position requires effective communication with various stakeholders, ensuring that services are scheduled accurately and efficiently.

Key Responsibilities

  • Provide outstanding customer service from the initial service request through to the completion of the process.
  • Follow client protocols and adhere to relevant regulations, ensuring all documentation is accurately maintained.
  • Input referrals and create cases with precision.
  • Coordinate appointment scheduling with medical offices, ensuring timely entry of dates and times into the operational system.
  • Engage with clients, medical professionals, and legal representatives regarding scheduling, changes, cancellations, and no-shows.
  • Prepare and distribute notification letters for exams, cancellations, and no-shows on a daily basis.
  • When necessary, initiate and follow up on pre-payment processes for service providers.
  • Arrange ancillary services such as transportation and translation as per client requests.
  • Conduct appointment reminder and follow-up calls as needed.
  • Verify information by contacting relevant agencies or individuals.
  • Handle incoming and outgoing communications effectively, meeting established client standards.
  • Manage a high volume of emails promptly and accurately.
  • Report any client concerns immediately to the Supervisor.
  • Utilize company software and equipment proficiently.
  • Enter data accurately into the system using keyboard input.
  • Exhibit strong organizational skills, capable of multitasking while maintaining attention to detail.
  • Communicate clearly and correctly in written and spoken English.
  • Understand and follow both oral and written instructions, adhering to departmental routines.
  • Demonstrate proficiency in imaging and scanning documents.
  • Maintain confidentiality and discretion in all matters.
  • Collaborate effectively as a team member on all assignments.
  • Engage professionally with colleagues and clients alike.
  • Understand and comply with guidelines related to confidentiality and ethics.

Qualifications

  • High School Diploma or equivalent.
  • Proficient in Microsoft Office Suite.
  • Strong verbal and written communication skills.
  • Ability to prioritize and organize tasks effectively.
  • Willingness to accept and implement constructive feedback.

Physical Requirements

  • Ability to remain in a stationary position for extended periods.
  • Capability to communicate verbally and audibly.
  • Manual dexterity sufficient for operating a keyboard and calculator.
  • Mobility to walk as required.
