Job Overview:

The role involves providing essential administrative support to the project management team while ensuring the efficient operation of the field office to maintain precise project documentation.

Key Responsibilities:


• Execute all fundamental responsibilities of a Project Assistant/Coordinator.


• Potentially oversee and coordinate clerical and administrative personnel.


• Manage phone communications, addressing routine inquiries and directing calls appropriately.


• Draft and/or revise correspondence, reports, and procedural documents as necessary.


• Serve as a communication link between supervisors and various departments, including organizing meetings and disseminating information.


• Attend project meetings and document proceedings accurately.


• Establish and maintain an organized project filing system.


• Distribute documents to subcontractors and maintain comprehensive document logs.


• Update project drawings and communicate changes effectively.


• Prepare and manage Requests for Information (RFI) logs using the CMiC system.


• Transmit and circulate submittals as required.


• Maintain submittal and expediting logs.


• Conduct expediting functions as necessary.


• Input labor quantities into cost reports on the CMiC platform.


• Verify and cost code time sheets accurately.


• Document and prepare extra work orders.


• Maintain a reference log and associated documentation on the CMiC system.


• Review and compile change order submissions and quantity surveys.


• Keep a progress photo album updated.


• Assist in the preparation of billings, lien releases, and certified payrolls as applicable.


• Compile contract close-out documents and as-built records.


• Document punch-list activities effectively.


• Create necessary forms for reporting purposes.


• Facilitate the flow of paperwork from the field to the Division Office.


• Undertake additional responsibilities as assigned.

Qualifications:


• A four-year degree in business or a technical field, along with a minimum of three years of administrative experience, or an equivalent combination of education and experience, including at least three years in construction project administration.


• Proficient typing skills, with an ability to type 65-75 words per minute accurately.


• Advanced proficiency in word processing and spreadsheet applications.


• Strong understanding of general office procedures and equipment.


• Excellent verbal communication skills in English, including a professional telephone demeanor.


• Strong written communication abilities, including business writing proficiency.


• Demonstrated reliability, dependability, and adaptability.
