Job Summary:

Charlton Oil and Propane in Charlton is seeking a full-time experienced Service Coordinator for first shift, 40 hours/week, Monday-Friday, 8-hour shifts, with a competitive hourly wage.

The Service Coordinator will oversee the process of new customer installations, service calls, and annual cleanings, ensuring efficient scheduling and dispatching of Master Plumbers, LP Gas Installers, and Service Technicians.

This role involves scheduling and emergency scheduling, managing work orders, permitting, and customer communication. The Service Coordinator will also handle administrative tasks and provide support to ensure smooth operations within the service team.

This role requires strong organization, multitasking, customer relations, and teamwork skills. Previous experience in the energy industry, contracting, construction, or home improvement is desired.

Key Responsibilities:Service Operations:
  • Manage daily service activities, ensuring timely and efficient dispatching and job completion.
  • Manage permit applications, track inspections, and approvals, learning permitting processes for each town served.
  • Monitor and manage service calendars and schedules to ensure timely completion of appointments and schedule follow-up services when necessary.
Customer Service:
  • Communicate with customers via phone, email, or online portals to confirm appointments, provide service updates, and address scheduling conflicts or changes.
  • Address and resolve any issues or emergencies that arise during service delivery.
  • Reallocate resources and reschedule appointments as needed to meet client needs.
Safety and Compliance:
  • Ensure service activities comply with regulations and safety standards.
  • Learn basic gas and oil regulations/codes and participate in regular classroom and online training.
Requirements:
  • Experience working within a team of contractors/service employees.
  • Proven experience in scheduling, customer service, or administrative roles.
  • Experience using online service scheduling tools like HouseCall Pro, Jobber, ServiceTitan, or similar is a plus.
  • Relevant experience in the energy industry, contracting, construction, or home improvement is desired.
  • Strong communication and customer service abilities.
  • Strong organizational and problem-solving skills.
  • Ability to learn and participate in classroom and online training.
  • Able to pass CORI check.
