Administrative Assistant Role

Excel Partners is seeking a highly skilled and organized Administrative Assistant to support the Investor Relations and Marketing teams. The ideal candidate will have a proven track record of multitasking in a fast-paced environment and possess exceptional follow-through skills.

Key Responsibilities:
  • Schedule internal and external meetings, ensuring seamless coordination and communication.
  • Track investor calls, meetings, prospect mailboxes, and other departmental processes, maintaining accurate records and reports.
  • Prepare meeting materials, including presentations, books, and bios, to ensure a professional and polished presentation.
  • Arrange travel itineraries, including detailed schedules and logistics.
  • Assist with planning and execution of internal and client events, ensuring smooth execution and high-quality outcomes.
  • Prepare expense reports for the department, maintaining accurate records and ensuring timely submission.
  • Provide administrative support for ad-hoc projects, including firm-wide events, philanthropy, and brand management.
Requirements:
  • 5+ years of solid administrative experience, with a proven track record of professional success.
  • Financial services experience is strongly preferred, but not essential.
  • BA/BS preferred, with a strong academic record.
  • Proficiency in Microsoft Office products, with a focus on Excel, Word, and PowerPoint.
  • Exceptional organizational skills, attention to detail, and ability to maintain processes and meet deadlines.
  • Experience with event planning is highly preferred.
  • Excellent judgment, maturity, and a high degree of professionalism.
