The Lead Intake Coordinator plays a pivotal role in supporting the Central Intake teams and management team. This position works closely with CBHC Supervisors/management team to ensure the team's day-to-day goals of operations are met. The Lead Intake Coordinator is responsible for processing reports to ensure that CBHC measures are successfully met. This role engages staff, individuals, families, and other providers in a proficient and professional manner in obtaining answers to all BHN administrative inquiries. The Lead Intake Coordinator helps to determine the most suitable services to help each person in need. This role communicates with referral sources, program staff and BHN wide staff in a timely manner and uses their working knowledge of BHN and community resources to help access the help they need.

Key Responsibilities:
  • Ensures that department goals and objectives are being met including compliance with CBHC performance specifications and the department's performance metrics.
  • Collaborates with program management, supervisors, and other CBHC providers to ensure high quality, efficient, effective, and timely delivery of all BHN services.
  • Represents and serves as a liaison between all BHN levels of care.
  • Ensures that staff follows all established programmatic workflows.
  • Operates telephone and voicemail systems, in a timely and welcoming manner.
  • Becomes familiar with all insurance carriers for each individual served.
  • On Call optional - Coverage and Shifts as determined by program needs. Provides on call support on behalf of supervisor to secure support for staff.
  • Logs into the phone system to assist staff with calls that need escalation as it applies to each CBHC program.
  • Monitors the process and ensures the referrals and requests from email box are handled in a timely manner.
  • Responds to current and potential referral sources, program staff and BHN wide staff in a professional and timely manner.
  • Schedules new or existing individuals served for appointments at the time of referral or provides other options as appropriate.
  • Participates in the onboarding and training of new Central Intake staff in person as needed.
  • Assists supervisors to ensure staff remain up to date with the requirements of their position.
  • Maintains BHN phone tree and required routing to appropriate individuals served destinations.
  • Organizes and tracks key performance indicators for agency referrals and outcomes.
  • Performs other administrative tasks as requested.
Requirements:
  • High School Diploma or GED required.
  • 6 months of either call center experience, office experience or experience working with the community required.
  • General knowledge or experience in the mental health field.
  • Excellent verbal and written communication skills.
  • Strong computer skills - knowledge of Carelogic, Insurance Databases, Smart sheets etc.
