Job Summary

The Commonwealth of Virginia is seeking a highly skilled and detail-oriented individual to fill the role of Secretary Senior. This position provides critical administrative support to the Lieutenants and the BCI Richmond Field Office, requiring a high level of confidentiality and discretion.

Key Responsibilities

  • Prepare correspondence in response to routine inquiries and maintain the integrity of confidential matters.
  • Ensure all correspondence is correctly formatted according to policy and proofread prior to submission.
  • Review and maintain time attendance records and benefits information as required by the Cardinal – Human Capital Management system (HCM) or mandated by policy.
  • Establish and maintain administrative files and establish effective working relationships.
  • Complete and process required reports and maintain proficiency in various automated systems.
  • Greet visitors in a professional manner, answer telephone calls, and forward messages, and maintain the Section's calendar and tracking system.

Requirements

  • Working knowledge of general office and clerical practices and procedures, basic mathematics, office equipment, and standard English grammar, spelling, punctuation, and usage.
  • Skill in typing/keyboarding and operating computers, and using Microsoft Office applications.
  • Demonstrated ability to manage and organize general office operations, establish priorities, and make independent decisions, analyze and solve problems, expedite workflow and daily office functions, interpret, apply, retain, and recall policies, procedures, and written and oral instructions, compose, prepare, and track correspondence, reports, and other documents, complete forms, collect and assemble information, gather, input, and report statistics, develop formats for special projects and ongoing projects through innovative computer usage, communicate effectively in English, orally and in writing with the public and agency staff, and work independently and as part of a team.
  • Graduation from high school or equivalent.
  • Data entry/office services experience required.
  • Must be eligible to become Virginia Criminal Information Network (VCIN) certified, which requires either United States (U.S.) citizenship or having been a lawful permanent resident of the U.S. and eligible for naturalization.
