Job Summary

The City of Brookfield, WI is seeking a highly skilled Administrative Assistant I to join our team at the Brookfield Public Library. As a key member of our administrative staff, you will provide critical support to the Library Director and other departments, ensuring the smooth operation of our library services.

Key Responsibilities
  • Administrative Support: Provide a range of administrative activities, including serving as a liaison with other departments and external constituencies, assisting with problem-solving, and executing stated goals and objectives.
  • Payroll and Personnel Management: Accurately report payroll and maintain personnel and vacation records.
  • Scheduling and Coordination: Schedule, coordinate, and facilitate meetings, facilities usage, events, and travel arrangements.
  • Communication and Correspondence: Provide and oversee support activities, such as answering telephones, assisting visitors, resolving problems, reviewing and controlling incoming and outgoing correspondence, and following-up on operational commitments.
  • Financial Administration: Coordinate collection and preparation of financial operational reports, monitor, reconcile, and assist with fiscal administration for the library and Library Board, including budgets, funding, grants, contracts, payroll, employment, travel, and purchasing.
  • Technical and Administrative Correspondence: Create, compose, and edit technical and administrative correspondence and documentation using various software applications.
Requirements
  • Education: Knowledge equivalent to a high school degree; Associate's degree in Administrative Professional or equivalent, preferred.
  • Experience: A minimum of three (3) years of administrative, secretarial, or office support experience, preferably in the public sector; A minimum of two (2) years of bookkeeping, accounting, and payroll experience.
  • Skills: Proficiency with computer software programs, including spreadsheets, word processing, and databases; Proficient in English grammar to communicate clearly and effectively in both written and verbal forms.
