Job Summary

Vaco is seeking a highly skilled and experienced Executive Assistant to provide high-level administrative support to our executives. As a key member of our team, you will play a critical role in ensuring the smooth functioning of our operations.

Key Responsibilities

  • Calendar Management: Manage executive calendars, coordinate appointments, and schedule meetings to ensure seamless communication and collaboration.
  • Document Preparation: Prepare and edit documents, presentations, and reports for internal and external communication, utilizing your expertise in MS Office Suite.
  • Communication Facilitation: Facilitate communication between executives, teams, and external stakeholders, maintaining confidentiality and professionalism at all times.
  • Travel Coordination: Coordinate travel arrangements, including flights, accommodations, and itineraries, ensuring timely and efficient execution.
  • Meeting Support: Assist in preparing meeting agendas, materials, and follow-up action items, ensuring that all necessary information is readily available.
  • Research and Data Analysis: Conduct research and compile data to support decision-making, utilizing your analytical skills to provide valuable insights.
  • Expense Management: Manage expense reports and budget tracking for executives, ensuring accurate and timely reporting.
  • Team Collaboration: Collaborate with the administrative team to ensure efficient office operations, sharing knowledge and best practices to drive success.
  • Ad Hoc Tasks: Handle ad hoc tasks and projects as assigned by senior management, demonstrating your flexibility and adaptability.

Requirements

  • Education: Bachelor's degree or equivalent experience preferred.
  • Experience: 5+ years of proven experience as an Executive Assistant or in a similar role.
  • Skills: Excellent communication and interpersonal skills, proficiency in MS Office Suite, strong organizational and multitasking abilities, detail-oriented with a focus on accuracy, ability to work independently and collaboratively in a team-oriented environment, professional demeanor, and strong work ethic.
