About the Role

We are seeking a highly skilled and experienced Law Firm Administrator to join our team at NowackHoward, LLC. As a key member of our management team, you will be responsible for overseeing the daily operations of our law firm, ensuring that all functions and services are running smoothly and efficiently.

Key Responsibilities
  • Operations Management: Oversee and direct all management functions and responsibilities for the firm, including human resources, administrative support, facilities, intake, bookkeeping, billing, accounts payable and receivable, information systems, marketing, and business development.
  • Budget Planning: Plan and implement the Firm's annual marketing and operations budgets, ensuring that all financial resources are allocated effectively.
  • Performance Management: Plan, monitor, and report attorney hourly goals throughout each year, collaborating with the Managing Partner/Owner to analyze key financial reports and identify areas for improvement.
  • Vendor Management: Build and maintain vendor relationships, negotiating rates, approving payments, and resolving billing discrepancies.
  • Facilities Management: Ensure high standards for office cleaning, maintenance, and support, overseeing the recruiting, hiring, and orientation of attorneys and staff.
  • Employee Relations: Manage the non-attorney professional staff, establish and maintain employee relationship management, and oversee practice management systems for all practice areas.
  • Disciplinary Actions: Propose and conduct disciplinary and counseling meetings, develop performance improvement plans, and assess training needs.
  • Staffing and Training: Evaluate staffing requirements, make recommendations, and optimize utilization and training of existing paralegals and office staff.
  • Emergency Response: Coordinate prompt response to emergency facility and staffing issues, maintain updated evacuation and safety procedures, and coordinate the firm's disaster recovery plan.
  • Process Improvement: Recommend improvements to the Managing Partner/Owner for existing systems and procedures, ensuring efficient and cost-effective use of staffing, equipment, and software.
  • Marketing and Client Relations: Oversee marketing appearances and coordination, budgets for same, and management of Firm's relationships with current clients and outside referral sources.
Requirements
  • A minimum of five years of progressive management experience overseeing the daily operation and administration of a professional office environment, preferably in legal or other professional services industry.
  • Excellent administrative and organizational skills, with proven ability to produce results and meet deadlines.
  • Ability to manage firm's human resources.
  • Ability to interact and communicate with all levels of professionals, management, and staff, demonstrating the ability to elicit cooperation, teamwork, and service in a fast-paced, high-volume environment.
  • Fundamental knowledge and experience managing operational departments such as billing, accounts payable and receivable, marketing, finance, human resources, technology, facilities, etc.

  • Highly effective communications skills and ability to communicate credibly and diplomatically with all levels in an organization.

  • Ability to independently assess internal firm needs and to develop and lead responsive solutions.
  • Strong sense of accountability, taking ownership over projects and responsibilities and resolving issues proactively and timely.
  • Ability to maintain professionalism under pressure and handle high-volume of communication.
Education
  • Strongly preferred: Bachelor's Degree from a recognized institution with major coursework in Business Administration, Management, Finance, Human Resources, Technology, Marketing, Law, or related field. Substantial and relevant work experience may be substituted for a bachelor's degree.
