Job Summary

We are seeking a highly skilled and organized Executive Assistant to support our Executive Director at Heartbeat At 22. The ideal candidate will have a strong ability to multitask, excellent communication and organizational skills, and a proactive approach to meeting deadlines.

Main Responsibilities
  • Coordinate meetings and events, ensuring seamless execution and timely follow-up.
  • Prepare and edit correspondence, communications, and presentations, maintaining a high level of professionalism and attention to detail.
  • Design and maintain spreadsheets and databases, utilizing current technology to streamline processes.
  • File and retrieve documents, ensuring accurate and efficient record-keeping.
  • Conduct research, collect and analyze data, and prepare reports as directed, providing actionable insights to support decision-making.
  • Manage incoming calls, responding promptly and professionally to inquiries and requests.
  • Monitor, screen, and respond to incoming communications, ensuring timely and effective communication with staff, vendors, volunteers, and residents.
  • Coordinate project-based work, collaborating with cross-functional teams to achieve shared goals.
  • Assist with event planning and marketing efforts, contributing to the development of engaging and effective campaigns.
Requirements

To be successful in this role, you should have a minimum of 3 years of experience as an Executive and/or Administrative Assistant, with excellent computer skills and in-depth knowledge of relevant software, including the MS Office suite and Google Suite. A high school diploma is required, with a college education preferred. You may be subject to a background check and random drug testing.
