Job Title: Executive Assistant

At Heartbeat At 22, we are seeking a highly skilled and organized Executive Assistant to support our Executive Director. This is a unique opportunity to join a dynamic team and contribute to the success of our organization.

Key Responsibilities:

  • Coordinate meetings and events, ensuring seamless execution and timely follow-up.
  • Prepare and edit correspondence, communications, and presentations, maintaining a high level of professionalism and attention to detail.
  • Design and maintain spreadsheets and databases, providing accurate and up-to-date information.
  • File and retrieve documents and reference materials, ensuring efficient and secure storage.
  • Conduct research, collect and analyze data, and prepare reports as directed, providing actionable insights and recommendations.
  • Answer and manage incoming calls, responding to inquiries and resolving issues in a timely and professional manner.
  • Monitor, screen, and respond to incoming communications, ensuring prompt and effective communication.
  • Receive and interact with staff, vendors, volunteers, and residents, providing exceptional customer service and support.
  • Coordinate project-based work, ensuring timely completion and effective collaboration.
  • Assist with event planning and marketing efforts, contributing to the success of our organization's initiatives.

Requirements:

We are seeking an Executive Assistant with a minimum of 3 years of experience in a similar role, possessing excellent computer skills and in-depth knowledge of relevant software, including MS Office suite and Google Suite. A high school diploma is required, with a college education preferred. The ideal candidate will be subject to a background check and random drug testing.
