Senior Associate, Oncology Operations Management

The Oncology Operations Management team plays a pivotal role in steering strategic initiatives and enhancing operational efficiency across the U.S. Oncology sector. This team focuses on key areas such as:
Congresses, Sponsorships, Speaker Programs, GPO Execution, and External Consulting arrangements. Collaborating closely with various U.S. Commercial Oncology teams, they formulate and implement strategies aligned with brand objectives, develop annual plans for the aforementioned focus areas, and work in tandem with AbbVie’s internal departments to ensure seamless execution.
Position Summary
The Senior Associate, Oncology Operations Management will oversee the management of commercial programs and service contracts within AbbVie’s oncology portfolio. The ideal candidate will engage in close collaboration with multiple departments including U.S. Oncology Brand, Legal, Office of Ethics and Compliance (OEC), Field Operations, Field Sales, Central Consultancy Group (CCG), Finance, Purchasing, IT, Accounts Payable, Accounts Receivable, and Vendor Management to fulfill commercial program and service requests.
Key Responsibilities
Contract Management:
- Oversee and monitor contracting operations for external initiatives such as Sponsorships, Exhibits, and Memberships, as well as internal Oncology Commercial service requests.
- Collaborate with cross-functional teams to support departmental initiatives, ensuring compliance with company policies and standard operating procedures.
- Coordinate and track compliance documentation for each request.
- Monitor and report any deviations from established process flows.
- Analyze and enhance the contracting process by identifying bottlenecks and proposing effective solutions.
Project Management:
- Cultivate and maintain relationships with key stakeholders.
- Develop, track, and manage timelines for requests to ensure timely execution.
- Align focus and resources with business strategies and requirements.
- Lead and facilitate meetings with essential stakeholders.
- Monitor project status and identify potential risks to milestone achievement.
- Utilize various systems and software tools (Conga, Fiori, iHub, Invoice Tracker, Salesforce, Sharepoint, Smartsheet, SNAPP, SRM, Veeva, Vendor Master, etc.) to capture, analyze, and report relevant data.
Financial Management:
- Support the Vendor Management process.
- Process invoice/payment requests, determining compliant solutions and facilitating payments.
- Ensure accuracy in following the Purchase Order or Administrative Check Request process.
- Address payment issues raised by business unit staff or vendors.
- Provide daily support for financial transactions (invoices).
Additional Responsibilities:
- Conduct ad hoc reporting as needed.
- Offer coverage support in the absence of other team members.
