JOB DESCRIPTION
Objective:

The Document Management Associate plays a crucial role in ensuring that all financial documents are systematically organized and stored in their designated locations. Efficient filing is essential for maintaining smooth operations within the office environment.

In addition to filing responsibilities, this position also includes handling transactions as a cashier, where the associate will process payments from customers and staff for various services and accurately record these transactions.

This role often represents the dealership's first and last point of contact with customers, necessitating a friendly and professional demeanor.

The associate will also provide support to the accounting department as needed on specific tasks.

(Availability to work on Saturdays is required)

Key Responsibilities:

Document Management:

  • Organizing and filing documents
  • Digitizing repair orders through scanning
  • Familiarity with automotive dealership accounting is advantageous, as it may assist in office operations

Cashier Duties:

  • Accurately calculate customer bills using the dealership's software.
  • Process cash, checks, and credit card payments from customers, ensuring all amounts are correctly recorded on the respective documents.
  • Provide accurate change and issue receipts to customers, ensuring that every transaction is acknowledged with a signature.
  • Tally and record totals from transactions and ensure they match with cash, checks, and credit card payments at the end of each shift.
  • Direct customers with further inquiries to the appropriate service advisor or staff member.
  • Address customer concerns with professionalism and direct them to the right personnel for further assistance if necessary.
  • Maintain service files in a timely manner.
  • Undertake additional tasks as assigned by management.
  • Adhere to all company safety protocols and report any incidents to a supervisor immediately.
  • Demonstrate the ability to read and understand instructions and information.
  • Possess basic computer skills and familiarity with office equipment (such as copiers, credit card machines, telephones, and adding machines) necessary for clerical and cashiering tasks.
  • Maintain a professional appearance at all times.
  • Exhibit a friendly and helpful attitude while interacting with customers.

  • All candidates must demonstrate the ability to pass pre-employment screenings, including background checks, motor vehicle records, drug tests, credit reports, and possess a valid driver's license.

Qualifications:

  • Self-motivated with the ability to prioritize tasks effectively and manage time.
  • Strong interpersonal and verbal communication skills.
  • High School Diploma or equivalent.
