Job Summary

The Office Coordinator plays a vital role in ensuring the smooth operation of the Cardiac Center and Cardiac Rehab. This dynamic individual will be responsible for coordinating administrative support functions, patient scheduling, and communication with patients, physicians, and staff.

Key Responsibilities
  1. Utilize the Centricity system to register patient demographics and perform initial insurance verification prior to scheduling.
  2. Organize patient scheduling activities, including maintenance of Physician schedules in the Centricity system.
  3. Greet patients and perform check-in/check-out in a positive, professional manner.
  4. Coordinate Physicians/Provider schedules with Cardiology Center, Cardiology rehab, and Cardiology office.
  5. Verify insurance coverage benefits and advise patients of therapy, tests, and procedures covered by the payer source.
  6. Use Centricity, MARS, and MUSE systems to input information, print data reports, and analyze data returned to ensure accuracy.
  7. Provide administrative support to the Program Manager and clinical staff, including schedule support, requisitions, and supply ordering.
  8. Serve as a liaison between the Cardiac Center, Rehab, and physician offices, ensuring effective coordination and communication of patient activities and referrals.
  9. Independently manage the front office of the Cardiac Center, including screening and receiving telephone calls, responding to inquiries, and referring to appropriate personnel.
  10. Maintain competency in operation of multiple electronic systems, including Centricity, MUSE, MARS, and basic operating systems.
  11. Prioritize workload and complete tasks within established time frames to accommodate patient and center needs.
  12. Demonstrate and model principles of service excellence in support of the patient experience.
  13. Assume responsibility for own professional growth and development, including attending educational programs and maintaining knowledge relevant to responsibilities.
Requirements

Previous office coordination and/or healthcare experience is required. Front office and coding experience is preferred. Excellent customer relations skills, ability to work independently, and ability to function in a dynamic environment are essential.
