Unit Secretary Role
The Unit Secretary plays a vital role in facilitating communication within the nursing unit. Key responsibilities include acting as a receptionist, managing patient documentation, and accurately transcribing and relaying physician directives while ensuring a well-organized nursing station. Additional duties may be assigned as necessary.
PRIMARY RESPONSIBILITIES
Administrative Duties
• Welcomes staff, physicians, visitors, and patients of all ages, providing assistance as needed.
• Responds to phone calls and intercom messages promptly and courteously, delivering messages accurately.
• Timely transcription of physician orders, ensuring adherence to established policies and procedures.
• Confirms that all chart forms are correctly labeled with patient information before filing.
• Maintains an adequate supply of unused forms in various sections of the chart.
• Files reports in the appropriate charts promptly, accurately recording vital signs and other relevant information.
• Orders necessary supplies based on unit requirements and in accordance with procedures.
• Ensures cleanliness and organization at the nursing station.
• Coordinates equipment maintenance by notifying the maintenance team of required repairs as per procedure.
• Understands and utilizes current procedures for charging patient supplies and services, ensuring all forms are completed and submitted to the relevant departments.
• Guarantees the accuracy, completeness, and timeliness of charge capture, following hospital and departmental policies.
• Ensures that patient data is entered into the database accurately and promptly.

REQUIRED QUALIFICATIONS
Education and Training: High school diploma or equivalent preferred. Certification as a Unit Secretary is advantageous.
Experience: No prior experience required. Previous experience in a healthcare setting is preferred. Familiarity with office equipment is desirable.
Skills and Competencies:
• Strong verbal communication skills to effectively interact with pediatric, adolescent, adult, and geriatric patients, visitors, and staff.
• Proficient in reading and writing English, including basic medical terminology and abbreviations.
• Cognitive skills for making judgments, memory retention, and problem-solving. Adaptability to changing conditions and job details.
• Clerical skills for accurate documentation in medical records. Legible handwriting to ensure information is retrievable.
• Organizational skills to complete tasks efficiently and on time.
• Ability to build rapport and establish trust with individuals.
• Proficient computer skills, including MS Office, Excel, and Intranet.
