Unit Secretary Role

The Unit Secretary plays a crucial role in facilitating communication within the nursing unit. Key responsibilities include acting as a receptionist, managing patient documentation, and accurately transcribing and relaying physician directives while ensuring a well-organized nursing station. Additional tasks may be assigned as necessary.

KEY RESPONSIBILITIES

Administrative Duties


• Welcomes and assists staff, physicians, visitors, and patients across various age groups.

• Responds to phone calls and intercom messages promptly and courteously, ensuring accurate message delivery.

• Transcribes physician orders efficiently, ensuring adherence to current policies and protocols.

• Confirms that all chart documents are correctly labeled with patient details before filing.

• Maintains adequate stock of unused forms in the appropriate sections of the chart.

• Files reports in the correct patient charts promptly, ensuring vital signs and other information are recorded accurately.

• Orders necessary supplies based on unit requirements, following established procedures.

• Ensures cleanliness and organization at the nursing station.

• Facilitates equipment maintenance by notifying the maintenance team of required repairs.

• Understands and applies current procedures for charging patient supplies and services, ensuring all forms are completed and forwarded to the correct departments.

• Guarantees the accuracy and timeliness of patient data entry into the patient database.

REQUIRED QUALIFICATIONS

Education and Training: A high school diploma or equivalent is preferred. Certification as a Unit Secretary is desirable.

Experience: No prior experience is required. Previous experience in a healthcare setting is advantageous. Familiarity with office equipment is beneficial.

Skills and Competencies:


• Strong verbal communication skills to effectively interact with pediatric, adolescent, adult, and geriatric patients, visitors, and staff.

• Proficient in reading and writing in English, including basic medical terminology and abbreviations.

• Cognitive skills for making sound judgments, memory retention, and problem-solving. Adaptability to changing conditions and job details.

• Clerical skills for accurate documentation in medical records. Clear handwriting to ensure retrievable information in patient records and reports.

• Organizational skills to complete assigned tasks efficiently and within deadlines.

• Ability to build rapport and trust with individuals.

• Proficient computer skills, including MS Office, Excel, and Intranet usage.
