Unit Secretary Role
The Unit Secretary plays a crucial role in facilitating communication within the nursing unit. Key responsibilities include acting as a receptionist, managing patient documentation, and accurately transcribing and relaying physician directives while ensuring the nursing station remains organized. Additional tasks may be assigned as needed.
PRIMARY DUTIES
Administrative Responsibilities
• Welcomes staff, physicians, visitors, and patients of all ages, providing assistance as required.
• Responds to phone calls and intercoms promptly and courteously, delivering messages accurately.
• Timely transcription of physician orders, ensuring adherence to established policies and procedures.
• Confirms that all chart forms are correctly labeled with patient details before filing them.
• Maintains an adequate supply of unused forms in various sections of the chart.
• Files reports in the appropriate charts promptly, ensuring vital signs and other information are recorded accurately.
• Orders necessary supplies based on unit requirements, following established procedures.
• Upholds cleanliness and organization at the nursing station.
• Facilitates equipment maintenance by notifying the maintenance team of required repairs according to protocols.
• Understands and applies current procedures for charging patient supplies and services, ensuring completion of necessary forms and their delivery to relevant departments.
• Guarantees the accuracy, completeness, and timeliness of charge capture, in line with hospital and departmental policies.
Customer Service Excellence
• Maintains the highest standards of customer service through courtesy, empathy, and effective communication.
• Promotes the Mission and Vision of PAM Health within the workplace and community.
• Respects patient dignity and confidentiality by adhering to all relevant policies and procedures.
REQUIRED QUALIFICATIONS
Education and Training: High school diploma or equivalent preferred. Certification as a Unit Secretary is a plus.
Experience: No prior experience required. Previous experience in a healthcare setting is preferred. Familiarity with office equipment is desirable.
Skills and Competencies:
• Strong verbal communication skills to effectively convey ideas and information to pediatric, adolescent, adult, and geriatric patients, visitors, and staff.
• Proficient in reading and writing English, including basic medical terminology and abbreviations.
• Cognitive skills for making sound judgments, memory retention, and problem-solving. Adaptability to changing conditions and job details.
• Clerical skills for accurate documentation in medical records. Clear handwriting to ensure retrievable information.
• Organizational skills to complete tasks efficiently and on time.
• Ability to build rapport and trust with individuals.
• Proficient computer skills, including MS Office, Excel, and Intranet.
