QUALIFICATIONS:

  • Experience in advertising, marketing, or communications
  • Bachelor's degree in mass communications, business administration, or marketing preferred
  • Exceptional written and verbal communication skills

  • Experience with media buying and planning software such as Strata, Nielsen, and Arbitron is advantageous
  • Ability to manage pressure and tight deadlines while maintaining focus and flexibility
  • Resilience in addressing challenges and receiving constructive feedback
  • Technologically adept and knowledgeable about current industry trends
  • Willingness to travel as necessary
  • Familiarity with project management and communication tools (e.g., Workamajig, Dropbox, Google Docs, Slack) is a plus

KEY RESPONSIBILITIES:

Support for Media Team:

  • Conduct research on demographics, media consumption, psychographics, and purchasing behaviors to inform media strategies
  • Compile and update media presentations, campaign reports, and other documentation as required
  • Assist media buyers with order placements and ensure all insertion orders are confirmed and documented
  • Coordinate creative and traffic instructions with vendors
  • Request and confirm spot times with vendors at the start of each campaign
  • Manage added value requests and track performance for client purchases
  • Maintain proof of performance records for print and outdoor media
  • Support media buyers with updates to flowcharts and RFP submissions
  • Maintain digital tracking reports for interactive accounts
  • Follow up with vendors regarding outstanding invoices
  • Reconcile invoices and collaborate with the accounting department to resolve discrepancies
  • Assist with client invoicing and related tasks
  • Request and track under-delivery weight as needed
  • Keep vendor contact lists updated
  • Document and distribute notes from conference calls
  • Process monthly co-op submissions
  • Fulfill additional tasks to support the media team as necessary

Systems and Processes:

  • Adhere to agency protocols to optimize workflow
  • Maintain effective communication with internal teams and external vendors
  • Utilize agency software and cloud-based systems for project management and collaboration
  • Employ various software tools, including Microsoft Office Suite and Google Suite, as required
  • Develop proficiency in media buying and planning software
  • Proofread media materials and client communications to ensure quality
