Position Overview

The Receivables Operations Supervisor is tasked with overseeing the accounts receivable (AR) processes within Johnstone Supply, ensuring adherence to established company protocols while complying with all relevant credit regulations at the federal, state, and local levels. This role is pivotal in maintaining the accuracy of customer records and leveraging technology to implement best practices in AR management.

Key Responsibilities

1. Manages the accuracy and completeness of Customer Record Files, ensuring that credit limits are appropriately set, terms align with company standards, and customer segmentation is relevant to business types.

a. Evaluates and processes all Credit and Proof of Delivery applications for designated locations, verifying customer-provided information through various licensing resources.

b. For credit applications, retrieves necessary credit reports from authorized credit agencies and assigns appropriate credit levels, escalating requests that exceed approved limits to higher management for further review.

2. Implements credit management strategies and oversees collection efforts for assigned accounts, ensuring proactive engagement in credit and collection activities.

a. Manages credit override queues, ensuring that proper credit limits are established and followed up on overdue accounts through customer communication.

b. Conducts collection calls to customers with outstanding balances, documenting interactions and scheduling follow-ups as necessary.

3. Establishes job accounts with credit agencies, ensuring all documentation is completed accurately to secure the company's financial position.

4. Coordinates and facilitates legal collection actions, including:

a. Preparing accounts for legal review based on attorney requirements and managing account write-offs as needed.

b. Ensuring follow-up on returned checks or credit card fraud cases, including customer notifications and legal proceedings if necessary.

5. Responds to general customer inquiries related to billing, authorized buyers, and invoice requests.

6. Utilizes technology platforms for billing management and customer record maintenance.

7. Ensures the integrity of general ledger accounts and manages cash handling processes, including deposits and payment applications.

8. Investigates and reconciles any unidentified payments received through company processing systems.

9. Oversees processes related to electronic billing and encourages customer participation in digital payment platforms.

10. Provides support for various projects and initiatives as directed, contributing to the overall efficiency of the AR department.

Internal Collaboration

The Receivables Operations Supervisor collaborates regularly with regional AR managers, AR staff, account managers, and other internal stakeholders to ensure smooth operations.

External Engagement

This role involves interaction with customers to resolve collection issues, as well as communication with financial institutions and legal representatives regarding credit matters.

Qualifications

A high school diploma or GED is required, with proficiency in standard office software and the ability to learn specialized accounting software. A minimum of three years of experience in accounts receivable or a related field is preferred, with a focus on credit and collections management.

Work Environment

This position is typically performed in an office setting, requiring extended periods of sitting and the ability to perform tasks using standard office equipment.
