Evolve Talent Partners is seeking a highly skilled and experienced Executive Support Specialist to provide high-level administrative support to our Founder and co-Chief Investment Officer.
Key Responsibilities:
- Provide exceptional administrative support to the Founder, including scheduling, calendar management, and travel coordination.
- Act as a gatekeeper to ensure the Founder's schedule is followed and respected.
- Utilize strong judgment in managing priorities of requests and escalating as necessary for resolution and/or prioritization.
- Demonstrate a proactive approach to problem-solving with strong decision-making capability.
- Work under deadlines and adapt to a fast-paced environment, remaining cool under pressure.
- Heavy scheduling and coordinating of calendars, including meetings and appointments.
- Organize meetings, including management of attendees, reservation of the location, confirmation of the meeting time, and preparation of materials.
- Draft agendas and meeting minutes, as well as proofread.
- Filing/organizing documents into the appropriate locations.
- Arrange domestic travel and itineraries.
- Prepare travel and expense reports.
- Complete special project work as assigned.
- Support other Partners as needed.
- Manage general office needs.
Requirements:
- Experience in executive administrative support (5+ years).
- Excellent time-management and organizational skills and the ability to multitask and prioritize workload.
- Initiative and responsibility, to anticipate needs and follow through.
- Sound judgment – knowing when to escalate an issue.
- Strong organizational/administrative skills.
- Proficiency in Microsoft Office suite.
- Familiarity with Zoom and other video conferencing systems.
- Desire and ability to work in a team-oriented environment.
- Flexibility for overtime.
- Previous experience supporting at group head level/in the wealth management and/or trust space is a plus.
