About the Role

We are seeking an experienced Administrative Assistant to join our team as the Office Coordinator. This is a fantastic opportunity to work in a collaborative and hard-working environment, supporting a growing franchising company that provides commercial cleaning, janitorial, and preventive disinfection services.

**Estimated Salary: $23 - $25/hour**

The successful candidate will have strong organizational skills, with the ability to multitask and manage multiple tasks simultaneously. They will also possess excellent communication skills, both verbal and written, and be able to provide exceptional customer service.

Key Responsibilities:

  • Receiving visitors, deliveries, and mail, directing each accordingly.
  • Managing the phone system performance, ensuring it is working properly, assessing, and resolving issues that arise.
  • Managing office equipment and supplies.
  • Coordinating weekly employee lunches.
  • Answering the general phone line and routing calls to the correct person.
  • Comprehending, obtaining, and providing Certificates of Insurance to customers and filing.
  • Filling out and returning new vendor documentation to customers (i.e., W-9s, Vendor setup forms, ACH authorizations).
  • Sending new customer welcome emails.

Requirements:

  • Bilingual English/Spanish.
  • Hands-on experience with ZoHo (or other CRM software).
  • Hands-on experience with Quickbooks Desktop (or other accounting software).
