Position Overview

The Guest Services Coordinator is responsible for fostering a secure and welcoming environment for residents, ensuring that all individuals entering the premises are greeted and screened appropriately. This role requires delivering personal services to residents in a prompt, courteous, and professional manner.

Key Responsibilities:

  • Maintain comprehensive knowledge of property rules, regulations, and policies.
  • Professionally welcome and greet all residents and guests, demonstrating a readiness to assist.
  • Announce guests to their respective units.
  • Acquire familiarity with local service providers, including transportation, cleaning, pet care, and food delivery services.
  • Ensure the front lobby is consistently well-kept, addressing maintenance issues such as chipped paint and ensuring proper lighting and cleanliness.
  • Handle resident requests for personal services and coordinate with staff to fulfill these requests promptly.
  • Supervise the Page staff during shifts, ensuring adherence to uniform standards and attendance.
  • Guarantee that the front desk is always staffed and operational.
  • Accept deliveries according to established policies, maintaining accurate logs for mail and packages.
  • Receive maintenance requests from residents and direct them to the appropriate personnel during business hours.
  • Strictly adhere to key control policies, ensuring that all visitors requiring access are authorized.
  • Verify that all contractors entering the building are properly identified and follow security protocols.
  • Enforce building rules and regulations as outlined by management.
  • Monitor security and life safety systems, reporting any issues to the appropriate authorities.
  • Assist new residents with the setup of services such as newspapers, cable, and laundry.
  • Provide information about local events and activities to residents.
  • Introduce new services that may benefit residents.
  • Document resident requests and issues promptly, notifying the relevant departments for resolution.
  • Complete incident reports as necessary.
  • Perform additional duties as assigned by the Head Concierge or Property Manager.
  • Maintain an updated list of local vendors for various services.
  • Ensure a professional appearance, with a clean and polished uniform.

Qualifications:

  • Extensive knowledge of the local area, including dining, transportation, and events.
  • Proven experience in customer service and hospitality.
  • Exceptional communication skills, both verbal and written.
  • Commitment to personal appearance and service excellence.
  • Demonstrated reliability and punctuality in previous roles.
