Role Summary

This role is essential in facilitating engineering and construction initiatives by providing comprehensive administrative assistance to the Project Manager and the project team.

Key Responsibilities:

  • Assist in the management of project documentation and provide administrative support for various company initiatives.
  • Organize and maintain project files and communication records efficiently.
  • Perform data entry tasks related to project activities.
  • Monitor project progress and generate monthly status reports, maintaining an up-to-date tracking system.
  • Update engineering documentation and project records as necessary.
  • Respond to inquiries regarding project details and compile research information.
  • Document minutes during team meetings led by the Project Manager.
  • Handle incoming calls and direct them appropriately.
  • Sort and distribute incoming correspondence.
  • Manage client billing and invoice distribution.
  • Draft memos, reports, and other documentation as required.
  • Coordinate travel arrangements and other internal services to support project needs.
  • Prepare outgoing mail, including labels and electronic communications.
  • Reserve meeting spaces and facilitate presentations, including setup and cleanup.
  • Schedule client meetings and presentations as needed.
  • Order and manage office supplies.
  • Maintain the project calendar and team roster.
  • Support clerical tasks related to project execution.
  • Ensure accurate data entry for project contact lists and execution plans.
  • Perform additional duties as assigned.

Qualifications:

  • High school diploma or equivalent is required; at least one year of relevant office or clerical experience is preferred.
  • Proficiency in Microsoft Office Suite, including Word, Excel, Access, and PowerPoint, is essential.
  • Relevant experience may be considered in lieu of educational qualifications.
